We are seeking a highly organized, sharp, and proactive Executive Assistant to provide comprehensive administrative support. This role requires someone who is quick-thinking, resourceful, and thrives in a fast-paced environment. The ideal candidate is detail-oriented, tech-savvy, and an excellent communicator, with the ability to anticipate needs, solve problems independently, and keep multiple projects running smoothly. This position supports a company that operates at the intersection of contemporary art, luxury travel, and cultural projects, requiring strong organizational skills and adaptability.
Duties
Provide executive administrative support, including managing calendars, scheduling meetings, and ensuring deadlines are met.
Handle data entry and maintain organized records, including invoices, project spreadsheets, and digital files.
Assist in event planning and coordination, including logistics for exhibitions, business meetings, and travel arrangements.
Manage communication professionally, including drafting emails, handling correspondence, and liaising with clients and vendors.
Utilize Google Suite effectively for document creation, presentations, and collaboration.
Support project coordination, tracking deliverables, schedules, and key tasks to ensure smooth execution.
Serve as a personal assistant as needed, ensuring the executives workflow is efficient and structured.
Conduct research and assist with logistics, including partnerships, travel bookings, and contract follow-ups.
Support social media and marketing tasks (Bonus), such as content scheduling and light copywriting.
Maintain confidentiality while handling sensitive information and correspondence.
Qualifications
Proven experience as an Executive Assistant, Project Coordinator, or in a similar role is preferred.
Extremely organized, structured, and detail-oriented, with excellent prioritization skills.
Sharp and resourceful, able to anticipate needs and solve problems independently.
Positive and high-energy, someone who brings solutions and keeps things moving efficiently.
Fluent in English (Japanese is a plus but not required).
Tech-savvy, with proficiency in Google Suite, Notion, and other office tools.
Excellent written and verbal communication skills.
Quick thinker, adaptable, and able to handle multiple projects at once.
Not a studentseeking someone with professional experience and maturity.
Previous experience in art, luxury travel, or event coordination is a plus but not required.
Compensation & Work Details
Remote position (Flexible hours, availability in Japan/US time zones preferred).
Part-time or full-time, depending on experience and availability.
Hourly rate: $25
