We are seeking a highly organized and proactive Executive Secretary to provide comprehensive administrative support to our executive team. Responsibilities
Manage executive calendars, including scheduling meetings and appointments while ensuring efficient time management.
Transcribe meeting notes and prepare reports as needed.
Handle incoming calls with professionalism, demonstrating excellent phone etiquette.
Provide clerical support by maintaining organized files, documents, and correspondence.
Assist with office management tasks, including inventory management and ordering supplies.
Coordinate travel arrangements and itineraries for executives.
Foster positive relationships with clients and stakeholders through effective customer service.
Support the executive team in various projects and initiatives as assigned.
Requirements
Proven experience as an Executive Secretary or in a similar administrative role.
Strong organizational skills with the ability to manage multiple tasks efficiently.
Proficiency in office software applications, including Microsoft Office Suite.
Excellent typing skills with attention to accuracy in transcriptions.
Strong verbal and written communication skills.
Ability to maintain confidentiality and handle sensitive information discreetly.
A proactive approach to problem-solving and decision-making in a fast-paced environment.
